Main purpose of the position

 

-      Manage a team of administration professionals to achieve operational objectives.

-      Manage admin’s vendors to provide professional service to the Company.

control cost efficiency

 

 

Job responsibilities

 

-      Oversee daily duties of vendors, admin staff to ensure that quality standards are being met and proper procedures are being followed.

-      Manage quality outsources vendors as cleaning, security, canteen service to meet the Company’s requirement (5S, HSE, hygiene...).

-      Coordinate with IT and others depts & controlling for General office equipment: photocopiers, printer, cartridge, stationary, office supply…

-      Supervise travel, accommodation, transportation for all staff, visitors (air-ticket, train ticket, car, grab, taxi, hotel, visa in both domestic and international).

-      Developing, reviewing, and improving administrative systems, policies, and procedures.

-      Provide administration support to other departments: meeting internal, external, training arrangement, team building....

-      Assistant expats in visa, work-permit and housing payment and relocation.

-      Manage both internal and external events, party/ benefit from the Company: YEP, Int ’s Women Day, Christmas, Tet...

-      Collating reports, payment process as monthly reports of air-tickets, hotel booking, taxi, car rental, house rental, etc

-      Follow and updated new software, system, technical, and automation at work

 

 

Personal qualifications / competencies

-      Ability to manage vendors and build procedure for suppliers to follow the Company standard.

-      Hotel/admin experiences , logistict management

-      In-depth understanding of office management procedures

-      Excellent communications skills

-      Organisational skills and the ability to multitask

-      Proactive and take the initiative

-      Discretion and trustworthiness

-      Secretariat experiences

-      Flexibility and adaptability

 

 

 

Educational / minimum requirements

 

-      Fluent in  English (speaking, writing& reading)

-      Proficient in Microsoft office
